Remote sourcing requires a deliberate evidence trail. A video call can show an item, but it does not automatically identify the production batch or prove that the viewed unit will represent the shipment. Agree what evidence you need at each decision point and how it will be linked to your order.
Separate appearance and measurement
Request overall views, close-ups and dimension checks as different tasks. For finishes, ask for photographs under consistent lighting and a physical sample when appearance matters. A ruler held near an item is less useful than a clear measurement showing the relevant starting and ending points.
Keep approvals specific
Give each sample and drawing a reference number. An approval message should state whether it covers color, dimensions, construction or all of those features. If the finish is approved but the fixing detail is still open, record that distinction. Do not allow a general thumbs-up to become an instruction to start all production.
Build the remote review pack
- Item and purchase-order references visible in the record.
- Images of the approved sample beside the proposed production item.
- A list of deviations requiring a buyer decision.
- Named responsibility for final release.
For high-consequence details, use an appropriately scoped independent inspection or specialist review. Remote communication supports a decision; its usefulness depends on the evidence requested and the competence of the person making the assessment.
AN Sourcing buying notes. These are practical procurement checklists; specifications, service scope and destination requirements should be confirmed for the actual order.
